Privacy policy

WORKLASSIC Co., Ltd. (the “Company”) handles the personal data it obtains in providing its recruitment and HR consulting services (the “Services”) and operating its website in accordance with Vietnam’s Personal Data Protection Law (No. 91/2025/QH15) and other applicable laws, as set out below.

This Policy applies to users of the Company’s website, job seekers who use the Services, and the contact persons of client companies (each, the “Individual”).

1. Personal Data We Collect

Information provided by job seekers:
name, date of birth, gender, place of residence, contact details (phone number, email, etc.), education and work history, qualifications and language ability, desired conditions, and information stated in resumes, CVs, and other application documents.

Information provided by client companies:
the name, company, department, title, and contact details of the contact person; and information about employees and others entrusted to us for the performance of HR consulting work. The scope entrusted varies with the work requested and may include, in addition to name and contact details, information stated in documents required for employment conditions or procedures, to the extent necessary for that work.

Information provided through the Company’s website, etc.:
information entered when registering for seminars, downloading resources, or making inquiries.

Information the Company obtains:
interview records, evaluations, and information from referees that the Company creates during the selection process; information obtained from public sources such as job media, social media, company websites, and publications; and information provided through seminars the Company hosts or co-hosts, or through partners.

Information collected automatically through website use:
cookies, IP address, browser and device information, browsing history, and advertising identifiers.

If the Individual provides the Company with the personal data of a third party (such as a referee or family member), the Individual shall do so after obtaining the necessary consent from that third party, and obtaining such consent is the Individual’s responsibility.

When personal data of employees or others is entrusted to us by a client company, the Company processes it under the entrustment of that company, and providing explanations to, and obtaining consent from, the Individual is to be carried out by that company.

2. Purposes of Use

The Company uses the personal data it collects within the scope of the following purposes:

providing recruitment services (introducing job openings, recommending candidates to client companies, supporting selection and onboarding); providing HR consulting services and related work; responding to inquiries and consultations; sending information about seminars, newsletters, and the Company’s services; advertising and marketing its services; improving services and performing statistical analysis; and responding to laws and to requests from administrative authorities.

3. Provision to Third Parties

The Company provides personal data to third parties in the following cases:

Provision to client companies:
we provide a job seeker’s personal data to client companies to the extent consented to by the Individual and necessary for application and recommendation.

Provision to subcontractors:
we provide it to subcontractors for server management, email delivery, business-system operation, etc., to the extent necessary to perform the work.

Other cases:
where a competent administrative authority requests it under law; and where the Individual consents.

4. Cross-Border Transfer

In connection with the provision to third parties described in Section 3, or because the equipment of the systems the Company uses sits outside the country, personal data may be transferred from Vietnam to other countries (such as Japan).

Cross-border transfers of personal data are carried out in accordance with the laws of Vietnam and of the destination country.

5. Retention Period

The Company retains personal data as long as necessary, until the purpose of use is achieved or in accordance with periods set by law.

Personal data that is no longer needed is promptly deleted by appropriate means.

6. Security Management

To prevent unauthorized access to, leakage, alteration, or loss of personal data, the Company takes appropriate measures, such as limiting access rights to the scope necessary for its work.

7. Cookies and Access Analytics

The Company’s website uses cookies and access-analytics tools (such as Google Analytics) to understand usage and improve its services.

The Company may also, by linking information held by advertising providers such as Google, Meta, and LinkedIn with email addresses, phone numbers, cookies, and the like that the Company holds, provide information about, and deliver advertising for, its services to those who meet certain conditions.

Cookies can be stopped in your browser settings, and ad delivery in the ad preferences each advertising provider offers. Disabling cookies may make some website functions unavailable.

Newsletters and similar emails can be stopped using the procedure given in each message.

8. Rights of the Individual

Regarding their own personal data held by the Company, the Individual may request the following:

to know the status of processing and to receive disclosure; correction and deletion; withdrawal of consent to processing, and restriction or suspension of processing; and the filing of complaints.

Please direct requests to the contact point below. After confirming your identity, we will respond within the period set by law.

Note that a withdrawal of consent or a deletion request may make it impossible for us to provide all or part of the Services.

9. Disclaimers

The Company cannot guarantee complete security for information sent and received over the internet. It is not liable for leakage, loss, or other damage to personal data arising from causes beyond its control, except where the fault is its own.

It is not responsible for how personal data is handled on third-party websites linked from its site.

If the Individual does not consent to providing information, or provides inaccurate information, we may be unable to provide all or part of the Services, and the Company is not liable for any resulting damage.

11. Changes to This Policy

The Company may revise this Policy in response to amendments to laws or changes in its business.

The revised content applies from the time it is posted on the Company’s website.
